What is DocumentCentral?

DocumentCentral is designed and built to manage the huge quantity of documents that can be found on a personal computer or within a corporation.

All documents are stored in a centralized location. This can be either for a single user on a single PC or in a shared environment where documents can be either private or shared among multiple users.

Four types of databases are currently supported depending on the end-user network configuration:

  • Microsoft Access databases for single-users
  • MySQL and SQL Server databases are for larger corporations with an unlimited number of users.
  • File system is a also supported for shared file servers with no centralized database.

By having all documents stored in a centralized location, archiving becomes much easier with no chances of losing important documents.

DocumentCentral supports any type of document from Office documents to accounting reports to CAD drawings. Any document can be stored into DocumentCentral either in its native format or in PDF format.


Importing Documents into DocumentCentral

The first step in centralized document management consists of importing all the user’s documents into DocumentCentral using the “Import Folder” utility. DocumentCentral will browse through all the files and import them into the database.



When importing documents or creating new documents, DocumentCentral indexes all the documents for fast search and creates a preview in PDF format.

The PDF preview enables the users to view a document even if the source application is not installed on their system, i.e. if the document was created by another user




Searching for Documents

A document stored in DocumentCentral can quickly be located by searching for words contained into the document




Version Control

Powerful version control allows the user to keep track of all modifications on a specific document and to view of retrieve an older version of a document.




User Rights Management

For environments where multiple users share documents, restrictions can be placed on what documents a user can access or the operation that he or she can do. Users are grouped in functional groups with detailed permissions being set on the group level or user level.




Contacts Management

DocumentCentral can be extended using plugin modules. One of the modules currently available is the contacts management module.

When contacts are created, documents can linked to a specific contact so that the document is pre-filled with the contact information. Using the PDF form editor, PDF forms can be created and stored within DocumentCentral.




Other Features

  • Scan documents directly from your scanner into DocumentCentral.
  • Create documents and folders from pre-defined templates.
  • Store documents from any application using the PDF printer supplied with DocumentCentral.
  • Direct interface with Office applications using the standard ODMA interface. Office applications can open and save documents directly from DocumentCentral when the ODMA module is installed.
